Are All Projects Considered Equal?
As a certified project manager, it is important to understand that every project is NOT the same.
Whether you’re publishing your book for the first time, trying to launch a campaign, or simply trying to design a website, each project DOES contain the same life cycles, which are basically just the different phases of the project.
Even if you don’t work with me, you should be familiar with each of the phases of the project. Why?
Because you want to make sure that the project manager you’re hiring is a competent one, and any reputable project manager knows and handles project management with these four stages in mind:
- Phase One: Initiating the Project
This is the beginning, and the most important phase, as it sets the tone and foundation for the entire project. We don’t rush through this stage – instead, your project manager takes the time to understand what exactly it is you are asking for and define the project goals. In this phase, it is also determined what skillsets are needed, the timeline of the project, and the budget required, including any training needed. - Phase Two: Making A Plan
In this stage, after looking over the information, you have now green-lit the project to move forward. This is where your project manager creates a project plan from start to finish. This makes sure that all the involved stakeholders and team members know their tasks and are prepared to complete them. The important deadlines and tasks that are vital for the project to be successful are highlighted. In this phase, a schedule is also created to account for all materials, resources, and tasks needed to complete your project. - Phase Three: Project Execution and Task Completion
Here, all the plans are put into motion and everyone begins the execution of their tasks. At this point, the project manager is responsible for monitoring the team to ensure they complete the tasks – including communicating scheduling and quality expectations – and to report all updates and changes to you on a regular basis. The project manager is not responsible for completing the actual tasks, but they are expected to remove any barriers or resolve any conflicts halting the project and to gather feedback from the team. - Phase Four: Closing the Project
Congratulations! We made it! It’s done! In this phase, the project manager and the team discuss all of the lessons learned from the project and document them. Everyone is involved in this phase, and we ask things like, “What worked well?” and “What could work better next time?” A project manager like me who goes above and beyond may also put together a small lunch or online gathering for the team to celebrate and recognize their hard work.
